Where can I find user documentation?

Why is the address not showing when I view the proof of my letter?

When you process the mailing you will need to make sure you untick a box that states “Clear address area on printed output”. This can be found in the advanced options when you extract the address.

Can I send a letter out without picking a profile?

Yes you can, however you need to be sure you configure the settings to the relevant letter settings

Do I need to click shrink to fit when sending a letter out?

Yes - this will make sure the bar coding can be applied to the letters and allow for the letters to be tracked

Can I add something before the address like Private and Confidential?

Yes, you can add this in the Address name prefix field on the address section within the print driver.

When I create a profile with an attachment, does that stay on the profile for the next time I use it?

Yes - when you set your profile make sure the attachment is included and name the mailing with a name that makes it clear that attachment will be included.

What is the PO number when I submit an order?

The code doesn’t have to be anything specific - to prevent having to input a code each time you send a mailing you can put a default code in. Open Docmail > go to Options > in Default PO reference input any text for e.g., N/A

What’s the difference between the portal and the driver?

The portal can be used via the website and is only compatible with template letters and uploads of data. On the other hand, the driver can be used directly from Microsoft Word by clicking on File, Print…

Who is responsible for setting profiles?

You can set your own profiles when using Docmail for anything that you regularly send.

What are library documents and how can I add a document to the general library?

Library documents are attachments you may chose to send along with a letter. We suggest that you only add things to the library that you know you will need to regularly send.

At what point can I cancel a mailing from the Docmail system?

Once a mailing has been completed and approved it will be held on the system until it’s processed. You can cancel a mailing up to 5pm on the same day. If a mailing is awaiting approval this can be cancelled at any time until they are approved.

At what point can I cancel a mailing sent from the Housing Management System?

If you require a mailing to be cancelled once it’s been sent from the housing management system you will need to contact Service Desk immediately so they can get in touch with Docmail to remove your item from printing. All printing from the Housing Management System is processed on that evening. To ensure documents can be removed from processing it’s recommended to contact Service Desk with an urgent request before 3:30pm so these can be manually removed for you.
